The Advancement Assistant is responsible for providing comprehensive support to the Foundation office. This dynamic position requires the ability to model Christian charity at all times, anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.

DUTIES AND RESPONSIBILITIES

  • Serve as the first point of contact in the Foundation Office, warmly greeting all guests.
  • Work with Foundation team to answer phones, field questions, schedule meetings, and assist with other administrative tasks.
  • Implement donor stewardship strategy, making sure that donors receive acknowledgement of gifts in an accurate and timely manner.
  • Manage scholarship application and award process in its entirety:
    o Serve as account manager for Pius X scholarship application through FACTS Management
    o Assist families with the FACTs application for scholarships
    o Prepare materials and coordinate annual scholarship selection committee.
    o Collaborate with Business Office to collect student thank you letters and produce annual correspondence with donors regarding scholarship awards.
    o Maintain allocation and records of scholarships awarded each year, keeping current records of money available and notices sent to students and donors.
    o Produce scholarship allocation and disbursement letters annually for donors.
    o Prepare and send out scholarship award letters to recipients.
  • Act in a support role for all advancement office activities, including, but not limited to: annual fund, special events, constituent relations, admissions, capital campaigns, major gift programs, and planned giving.
  • Support Special Events & Volunteer Coordinator with volunteer management or execution of event details.
  • Assist with execution of fundraising appeals (stuffing envelopes, printing labels, coordinating with mailing company, etc.)
  • Participate and assist with events held annually by the Foundation Office
  • All other duties as assigned.

KNOWLEDGE, SKILLS and ABILITIES

  • Ability to organize and prioritize work as well as manage numerous projects
  • Strong ability to execute work with a faith-filled, servant leadership lens.
  • Proficient with Microsoft Office and database software.
  • Strong verbal and written communication skills.
  • Exceptional organizational skills and impeccable attention to detail.
  • High degree of professionalism in dealing with diverse groups of people, including Board members, staff, parents, community leaders, donors, and funded partners.
  • Ability to complete a high volume of tasks and projects with little or no guidance.
  • Able to maintain a high level of integrity and discretion in handling confidential information.
  • Friendly, cooperative, collaborative, and helpful attitude, demeanor, and behavior toward all staff and colleagues of the school, parents/guardians, and visitors.
  • Establishes and maintains effective working relationships with other school staff members and contribute to a general team well-being.
  • Ability to learn new software as necessary.

CREDENTIALS AND EXPERIENCE

  • Bachelor’s degree in a related field is preferred.
  • Minimum of 3 years experience in an office setting; nonprofit or fundraising work preferred, but not required.
  • Support and uphold the philosophy of Catholic education and the mission of the school.
  • Act as a witness to Gospel values by modeling the teachings of the Catholic Church.
  • Support and adhere to codes of conduct and policies and procedures of the school and Diocese.

TYPICAL PHYSICAL REQUIREMENTS/WORKING CONDITIONS

  • Flexible schedule; this position works year-round.
  • Ability to work independently with little supervision.
  • Must be able to stoop, sit, stand, push, pull, and stretch consistent with an office environment;
  • Must be able to use standard office equipment such as computer, telephone, fax machine etc. in conjunction with administrative duties; and must possess a valid driver’s license in order to attend meetings and conferences as appropriate as well as for travel both locally and nationally.

Pius X currently has about 1,100 students (co-ed) enrolled in our 9-12 Catholic high school. While applicants do not need to be Catholic, we are seeking teachers who have a relationship with Jesus Christ and are willing to share that relationship with students. Athletic & Activities Director

Pius X High School is announcing a search for a new Athletic & Activities Director to begin in July 2024. A successful applicant will be a practicing Catholic with administrative certification (or the ability to acquire it) and an understanding of the Church’s teaching on the role of sports and arts in the formation of character and virtue.
